What to do when a payment fails: a five-step method

A failed payment is a sale on hold, not necessarily a lost one. A simple method to recover it without making the customer uncomfortable.

A failed payment does not always mean the customer no longer wants to buy. A declined card, insufficient funds, a network drop: the reasons are many and often temporary. Here is a five-step method.

1. Spot it quickly

The sooner the failure is discovered, the more willing the customer still is to buy. A failed payment should arrive at the top of your feed, not in a statement read at the end of the month.

2. Understand the cause

The payment provider generally gives a reason: card declined, insufficient funds, timeout. It guides your reply.

3. Write to the customer kindly

A simple message is enough: “Your payment did not go through. Here is a link to try again, or you can choose another payment method.” No blame, no pressure.

4. Offer an alternative

Card, PayPal or Mobile Money: giving the choice raises the chances of closing.

5. Note and follow up

Mark the event as handled when it is settled, and note the cause if it keeps coming back: it can reveal a technical problem on your site.
